When working with records that have been scanned, the digital copy of a record becomes the official record of the College. Destruction of the physical records still requires approval from the Oklahoma Department of Libraries, but the request can be made to destroy all digitized records up to current day. Please feel free to contact me if you have any questions concerning this process.
Storage of digital records is also important in this process. Records can be scanned into Banner and shared drives. We do not recommend storing records with proprietary or student information in SharePoint or OneDrive as these are cloud based products, and even though the possibility of hacking is negligible, we do not want to have any type of FERPA issues should those systems become compromised.
